BI Claim Documentation That Survives Desk Review

3 min read · updated July 2026 · MESHA Team

Who this is for

Independent adjusters and public adjusters handling commercial property losses with a business income component. If your next file includes a shut down restaurant, shop, office, or light industrial risk, this guide was written for you. It also doubles as a training piece for a new hire taking their first income loss.

The problem

Business interruption claims do not usually die on coverage. They die on documentation. The carrier pays what the file proves, and desk reviewers are trained to strike any projection they can label speculative. Lost income feels obvious when the doors are closed, but obvious does not move a reviewer. Source documents do. Most adjusters assemble the financial file at the end of the claim, which is exactly backwards, and the result is a carved down settlement and an insured who cannot make payroll while the dispute drags.

Inside the free PDF

  • The coverage frame checklist: waiting periods, period of restoration, extended business income, extra expense, civil authority
  • The baseline document stack: pre-loss records that make a projection cut proof
  • Three projection methods and how to pick the one that fits the business
  • The one page assumption sheet that shuts down the speculative label
  • A day by day shutdown log format that defends the period of restoration
  • The continuing vs non-continuing expense split, including the saved expense math
  • Eight common mistakes that invite cuts, and the summary memo format that prevents them
